Part-Time Bookkeeper /Office Manager
Position
Summary: Working 20-25 hours per week. Responsible for the accounting administration of all revenue based activities. This includes records management, cash management and the processing of accounts payables/receivables. Also responsible for the recording and management of general administrative records, handling phone calls, and other administrative tasks as assigned.
Responsibilities and duties, including but not limited to:
Ensure that various accounting records are accurate and up-to-date. This may include, but not be limited to: multiple control lists, allocation lists, payable accounts file, monthly files, accounts receivable files, validation control forms and contract validation list.
Prepare a composite sheet and make summary entries
Report discrepancies to the Manager
Prepare bank deposit daily
Prepare invoices and supporting documents for managers approval
Auditing of daily location tickets
Answering phone calls
Managing employee files
Organization and upkeep of administrative files and information
Keeping administrative logs up to date

Essential Accounts Payable duties:

Filing Purchase Orders / Customers Orders / Paid AP Invoices
Match Vendor invoices to Purchase Orders and receiving documents
Monitors discount opportunities for paying vendors
Post invoices into the computer system
Verify freight invoices for correct rate
Analyze invoices / expense reports to efficiently charge to correct account
Reconcile company credit cards statements
Research vendor statements, phone calls and discrepancies
Matches AP invoices /checks - weekly

Essential Accounts Receivable duties:

Generate daily AR invoices and credits
Prepare daily deposits for checks received and maintains deposit records
Posts customer payments: checks / credit card / ACH
Approve Customer Orders
Collection calls including resolving billing disputes, payment discrepancies and unauthorized deductions
Special projects as needed
QUALIFICATIONS
Minimum of 3 - 5 years accounting or bookkeeping experience preferred, 3 year experience required
Associates Degree in Accounting or Business Administration, or equivalent business experience.
Knowledge of related computer applications.
Familiarity with basic bookkeeping procedures.
Familiarity with generally accepted accounting principles.
One year of previous related experience required.
Good typing or keyboarding experience required.
Attention to detail and accuracy.
Must be well organized.
Cooperative and willing to assist others.
Able to use computer applications, adding machine, and telephone.
Have desire to contribute to the continued growth of the company
Ability and willingness to be cross trained

Able to work 9:00 AM to 6:00 PM ET

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
